How to Keep Records That Support You If Your Return Is Questioned

The pattern

Most businesses keep records for the purpose of filing, not for the purpose of defending a filing. The documents exist, but they are scattered, inconsistent or missing the context that explains them.

The cost

When a return or filing is questioned, the response is only as strong as the documents behind it. Gaps and inconsistencies force the business to reconstruct events from memory, which is slow and rarely as convincing as a clear paper trail.

Keep the supporting documents together with the entry

An invoice, the related agreement or order, and the proof of payment should be traceable to one another. A transaction that can be followed from start to finish in a few minutes is far easier to explain than one pieced together from separate sources.

Be consistent in how you record things

Names, addresses, descriptions and amounts should appear the same way across invoices, books and filings. Small inconsistencies, such as a different spelling or a rounded figure, often become the reason a question is raised in the first place.

Record the reason, not just the number

For unusual or one-off transactions, add a short note explaining why they happened. Months later, a one-line explanation written at the time is more reliable than recollection when someone asks what the entry was for.

Keep records for as long as you may need them

Do not discard records simply because the return has been filed. Confirm with your advisor how long different categories of records should be retained, and store them somewhere they can be found.

Good record-keeping is less about satisfying a deadline and more about being able to explain your own numbers calmly, whenever someone asks. The habit costs little each month and saves a great deal when it is needed.
